Privacy Policy

Original Effective Date: 08/20/2024

Last Revised: 08/23/2026

1. Introduction

First Coast Evaluation Center (“FCEC,” “we,” “us,” or “our”) is committed to protecting the privacy and security of the personal and health-related information of the families and professional partners we serve. This Website Privacy Policy explains how we collect, use, maintain, protect, and disclose information collected through our website, online contact forms, and digital communication channels.

This policy applies strictly to information collected on this website and does not replace, supersede, or alter our clinical HIPAA Notice of Privacy Practices, which governs how we protect your child’s medical and psychological health records (Protected Health Information, or PHI).

Please read this policy carefully. By accessing or using our website, you agree to the practices described herein.

2. Information We Collect

We collect several types of information from and about users of our website, including:

  • Personal Health Information (PHI): Name, email address, phone number, and any clinical or operational context you voluntarily provide when completing our "Contact Us" form, intake inquiry, or waitlist registration forms.
  • Technical & Usage Data: IP addresses, browser types, operating systems, referring URLs, and behavioral data regarding how you navigate our site, collected automatically through standard internet cookies and analytics tools.

3. How We Use Your Information

Unlike standard commercial websites, FCEC limits the use of your online data to professional clinical and practice operations. We use your information to:

  • Respond to your direct inquiries regarding psychoeducational, ADHD, autism, or learning disability evaluations.
  • Coordinate intake logistics, scheduling availability, and manage our practice waitlists.
  • Distribute our monthly internal educational newsletter, which includes child development resources, back-to-school strategies, clinical blog posts, new clinician announcements, and clinic location updates.
  • Maintain, secure, and optimize the performance of our website.

4. Strict Prohibitions on Marketing & Selling Data

FCEC does not engage in commercial third-party marketing. We will never sell, rent, lease, or commercially distribute your personal information, email address, or phone number to any third-party marketing companies, advertisers, or outside vendors. Any promotional material sent via our newsletter relates strictly to services, expansions, or clinical staff directly operated by FCEC.

5. Email Communication & Voluntary Opt-In / Opt-Out

By submitting an inquiry or providing your email address through our online forms, you voluntarily opt-in to receiving operational responses and our monthly educational newsletter resource.

  • Right to Opt-Out: You retain complete control over your communications. Every educational newsletter sent by FCEC contains an immediate, one-click "Unsubscribe" link in the footer. Alternatively, you may contact our intake office at any time to request manual removal.
  • Processing Time: Opt-out requests are processed automatically and permanently executed within ten (10) business days, in compliance with federal CAN-SPAM regulations.

6. Healthcare Data Security & Storage

We recognize the highly sensitive nature of psychological and educational inquiries.

  • Information submitted via our website contact forms is encrypted in transit using Secure Sockets Layer (SSL/TLS) technology.
  • Once received, data is transferred into our secure, HIPAA-compliant Electronic Health Record (EHR) system (SimplePractice) or managed within specialized environments covered by executed Business Associate Agreements (BAAs).
  • Please Note: While we employ industry-standard encryption, standard internet email transmissions are never 100% secure. Avoid transmitting highly specific clinical narratives or raw medical histories through unencrypted website text fields.

7. State & Federal Legal Compliance

  • HIPAA Alignment: Your website data is managed in strict alignment with the Health Insurance Portability and Accountability Act (HIPAA). For a comprehensive understanding of your rights regarding your clinical Protected Health Information (PHI), please review our dedicated **HIPAA Notice of Privacy Practices**, available prominently in our physical offices and linked separately in our website footer.
  • Florida Information Protection Act (FIPA) Compliance: In accordance with **Fla. Stat. § 501.171**, FCEC maintains rigorous administrative and technical security measures to protect the personal and mental health status data of Florida residents. In the highly unlikely event of a data breach affecting your information, FCEC will fulfill all state-mandated notification timelines, providing transparent alerts within thirty (30) days of discovery.
  • Children’s Online Privacy Protection Act (COPPA): Our website is designed to provide information to parents, guardians, and adult professional partners. We do not knowingly collect or solicit personal information directly from children under the age of 13.

8. Changes to This Privacy Policy

We reserve the right to modify this Website Privacy Policy at any time to reflect updates in technology, legal frameworks, or our practice operations. All changes will be posted directly to this page with an updated "Last Revised" date at the top. We encourage you to review this policy periodically.
